- LinkedIn to HubSpot is not one integration but three separate data streams: ad lead forms, audience signals, and Sales Navigator activity, and each needs a different connection.
- HubSpot's native LinkedIn Ads integration handles Lead Gen Form submissions for free, syncing within up to two hours and backfilling the last 90 days if you pick that option at connect time.
- Sales Navigator CRM Sync requires both a Sales Hub Professional or Enterprise seat and a Sales Navigator Advanced Plus plan, which is the reason most small teams never use it.
- Zapier can move Lead Gen Form data and webhook events but cannot log cold LinkedIn DMs, because LinkedIn restricts third-party API access to messaging.
- An unmapped field in a LinkedIn Lead Gen Form does not throw an error, it silently drops, so check every mapping before you spend on the campaign.
There are four ways, and which one you need depends on the data. For LinkedIn Ads Lead Gen Forms, use HubSpot's native LinkedIn Ads integration: connect in Marketing > Ads > LinkedIn, authorize lead sync, map fields, and leads arrive within up to two hours. For Sales Navigator activity, you need CRM Sync, which requires Sales Hub Professional or Enterprise plus Sales Navigator Advanced Plus. For anything custom, use Zapier. For logging manual DMs and profile saves, use a Chrome extension.
Which LinkedIn data are you actually trying to sync?
Most failed projects here start with the wrong question. "LinkedIn to HubSpot" is not one pipe. It is three, and they have nothing in common technically.
- Ad leads. Someone fills in a Lead Gen Form on a sponsored post. The data lives in LinkedIn Campaign Manager.
- Audience and ad performance signals. Spend, impressions, matched audiences, conversions.
- Sales Navigator activity. Saved leads, InMails, messages, notes from reps doing manual prospecting.
A demand gen team needs streams one and two. An SDR team needs stream three. Buying an enterprise Sales Navigator tier when all you needed was the free Ads integration is the most common and most expensive mistake in this category.
| Data stream | Right method | Cost of the method | Typical latency |
|---|---|---|---|
| Lead Gen Form submissions | HubSpot native LinkedIn Ads integration | Included with HubSpot | Up to 2 hours |
| Ad spend and performance | Same native integration | Included with HubSpot | Reporting refresh, not real time |
| Sales Navigator saves, InMails, notes | Sales Navigator CRM Sync | Sales Hub Pro/Ent seat + Sales Nav Advanced Plus | Near real time writeback |
| Custom routing, tagging, notifications | Zapier or Make | Zapier paid plans | Seconds to minutes |
| Manual DMs, connection requests, profile data | Chrome extension (e.g. Hublead) | Vendor pricing, per seat | On click |
Method 1: the native HubSpot LinkedIn Ads integration
This is the one most people want. It connects HubSpot to LinkedIn Campaign Manager. When someone submits a Lead Gen Form, the record is pushed into HubSpot as a new or updated contact. Without it, you export a CSV from Campaign Manager and import it by hand, which means your speed to lead is measured in days rather than minutes. That gap matters more than people think, as we covered in speed to lead for buying signals.
The steps, in order
- Check permissions first. The person setting this up must be a Super Admin, Content Admin, or Lead Gen Forms Manager on the associated LinkedIn Business Page. Missing permissions is the top cause of failed lead sync.
- In HubSpot, go to Marketing > Ads.
- Click Connect account and authorize with Account Manager permissions on the LinkedIn side.
- Open the Lead syncing tab at the top. Next to the account, click Authorize lead sync, then Allow in the pop-up.
- Choose your sync timeframe. All leads pulls the last 90 days plus everything new. New leads pulls only new submissions.
- Map every Lead Gen Form field to a HubSpot contact property.
Realistic time: 15 to 25 minutes if you already hold the LinkedIn page permissions. Days, if you have to chase whoever owns the company page.
Where it breaks
The timeframe choice is permanent. You cannot change it after connecting the page. To change it you disconnect and reconnect, which is annoying if you wanted the 90 day backfill and picked "New leads" by accident.
Unmapped fields fail silently. A Lead Gen Form field with no matching HubSpot property does not error. It drops. You find out three weeks later when nobody has a job title.
Your form needs an email field. Make it required, or HubSpot has nothing to create a contact from.
Draft forms do not appear. The Lead Gen Form must be attached to an active or paused campaign before it shows up in any sync tool. Build the campaign first.
The API migration. Through 2025, HubSpot showed a banner reading "[Action needed] Authorize new LinkedIn API for lead syncing." Accounts that did not update kept syncing only until 31 July 2025. If you inherited a portal set up before mid-2025, check that banner is gone.
Campaign attribution is awkward. LinkedIn native forms are not hosted in HubSpot, so you cannot tie them to a HubSpot campaign directly. The workaround is a custom property such as "Source Campaign" filled by a workflow, or a Zap that assigns the campaign on creation.
On timing: HubSpot's own documentation says it can take up to two hours for new leads to sync. Third-party connector LeadSync claims most leads land within 1 to 2 minutes. If your follow-up promise is "we call within five minutes," that difference decides which tool you buy.
Method 2: Sales Navigator CRM Sync
CRM Sync is the native bi-directional link between Sales Navigator and HubSpot. It gives you Auto-Save of CRM leads, contacts and accounts into Sales Navigator lists, Activity Writeback so InMails, messages and notes log to the CRM timeline, ROI reporting, and CRM badges inside Sales Navigator search.
It is genuinely good. It is also gated hard.
| Requirement | Detail (as of Dec 2025) |
|---|---|
| HubSpot tier | Sales Hub Professional or Enterprise, with an assigned seat |
| LinkedIn tier | Sales Navigator Advanced Plus |
| Admin rights | Sales Navigator account admin, if you want HubSpot data visible inside Sales Navigator |
| Licensing model | Per user, every rep needs their own Advanced Plus seat |
Advanced Plus is LinkedIn's enterprise tier with custom pricing. Public estimates put it around $1,600 to $1,800 per user per year, but LinkedIn does not publish the number, so treat that as a range from resellers rather than a quote.
One change catches people out. Through 2024, HubSpot's Sales Navigator integration worked across most paid HubSpot tiers with Sales Navigator Core or Advanced. In 2025 the Advanced tier lost HubSpot integration access. If a colleague tells you "we had this on Advanced," they are remembering the old rules.
The lighter embedded Sales Navigator card, the widget inside a HubSpot contact record, is not the same thing. It displays data. It does not create contacts and it does not automatically log conversations to the timeline. If you are weighing this against other prospecting tooling, our Sales Navigator alternatives roundup covers what else exists at lower price points.
Method 3: Zapier or Make as middleware
Zapier connects LinkedIn Lead Gen Forms, Matched Audiences, Conversions and Pages to HubSpot and thousands of other apps. A typical Zap: new Lead Gen Form response, then create or update HubSpot contact, then Slack the owner. Existing contacts get updated rather than duplicated.
Use it when the native integration is too blunt: routing by form, setting a lifecycle stage, tagging a campaign, enriching before creation, or writing to a Google Sheet for the ops team.
The limit is LinkedIn's API, not Zapier. Third-party messaging access is restricted, so no middleware can pull your cold DM threads into HubSpot. Zapier handles advertising and page objects. It cannot handle personalized outreach to cold prospects. Anyone who tells you otherwise is describing scraping, and the risks of that are covered in enrichment vs scraping.
Method 4: Chrome extensions for manual prospecting
Out of the box there is no native way to sync LinkedIn conversations, track connection requests, or log outreach back into HubSpot on lower tiers. That is the gap tools like Hublead fill. A rep opens a profile, clicks once, and the contact plus the conversation lands in HubSpot.
The trade-offs are the usual ones. It is per seat. It depends on a browser session staying logged in. It is a click, not an automation, so it works when the rep remembers. Extensions also sit closer to LinkedIn's automation line than an API integration does, which is why some teams prefer running lead gen without a Chrome extension entirely.
What should a small team do if Advanced Plus is out of budget?
Run the free native Ads integration for form leads, add two or three Zaps for routing and tagging, and accept that Sales Navigator activity will not write back. Log outreach where the outreach actually happens and push only the outcome, a reply or a booked meeting, into HubSpot. You lose activity-level reporting. You keep the pipeline numbers that matter, the ones in outbound metrics that predict pipeline.
Where Saava fits
Saava is not a HubSpot sync tool. It finds buying signals on LinkedIn, scores people against your ICP, and sends outreach from a LinkedIn account you connect yourself or from your email, so it sits upstream of the CRM question rather than solving it. If your problem is "my ad form leads are stuck in Campaign Manager," use HubSpot's native LinkedIn Ads integration, which is free and takes about 20 minutes. If your problem is "we have no leads to sync in the first place," that is the part Saava works on.
FAQ
How long does it take for a LinkedIn Lead Gen Form submission to appear in HubSpot?
HubSpot's documentation says up to two hours for new leads to sync through the native integration. Third-party connector LeadSync claims most leads appear within 1 to 2 minutes. If minutes matter for your follow-up, test both with a real submission before you commit.
Can I sync historical LinkedIn leads, or only new ones?
At connect time you choose between "All leads," which pulls the last 90 days plus everything new, and "New leads," which pulls only new submissions. The choice is locked once the page is connected. To change it you disconnect and reconnect the page.
Do I need Sales Navigator to send LinkedIn leads into HubSpot?
No, not for ad leads. The native LinkedIn Ads integration works without Sales Navigator. You only need Sales Navigator CRM Sync if you want saved leads, InMails, messages and notes writing back to the CRM, and that requires a Sales Hub Professional or Enterprise seat plus a Sales Navigator Advanced Plus plan as of December 2025.
Why did my LinkedIn leads stop syncing in 2025?
Most likely the API migration. HubSpot displayed a banner reading "[Action needed] Authorize new LinkedIn API for lead syncing," and portals that did not reauthorize kept syncing only until 31 July 2025. Check Marketing > Ads for the banner. The other common causes are missing LinkedIn page permissions and a Lead Gen Form without a required email field.
Can Zapier log my LinkedIn DMs to HubSpot?
No. LinkedIn restricts third-party API access to messaging, so Zapier supports Lead Gen Forms, Matched Audiences, Conversions and Pages, not private conversations. Logging DMs means a Chrome extension or Sales Navigator CRM Sync activity writeback.
