Best outbound tool for B2B SaaS founders in 2026: 5 options
There is no single best outbound tool for founders. Here are five real options compared by channel, 2026 pricing, and who should pick each, including where Saava is the wrong choice.
On this page
- There is no single best outbound tool for B2B SaaS founders, because outbound is a stack of data, sending, deliverability, LinkedIn and a CRM, and each tool covers only some of it.
- Apollo is the most commonly recommended starting point for early teams, with paid plans from $49 per user per month on annual billing in 2026.
- Instantly charges a flat fee from $47 per month on monthly billing with unlimited email accounts, so its cost does not grow when you add mailboxes.
- Per-seat tools like Apollo and Lemlist get more expensive with every person you add, while flat-rate senders like Instantly, Smartlead and Saleshandy stay predictable.
- Many best-of lists for outbound tools are written by vendors that rank themselves first, so check who wrote a comparison before trusting its order.
There is no single best outbound tool for B2B SaaS founders in 2026, because outbound is a stack: data, sending, deliverability, LinkedIn and a CRM. For most early founders the honest defaults are Apollo if you want data and sequences in one seat from $49/user/month (annual), Instantly if cold email is the channel from $47/month flat, and Saava if your buyers are active on LinkedIn and you want to reach them when they show a buying signal. Pick by channel and budget, not by brand.
The shortlist
A warning first. Most best-of pages for this question are written by a vendor, and the vendor usually ranks itself first. This one is too. We put Saava first because it is our page, and we try to earn the spot below by saying who should not buy it.
| Tool | What it is | Entry price (2026) | Pick it if |
|---|---|---|---|
| Saava | LinkedIn buying signals, ICP scoring, outreach from your own LinkedIn or email | Shown at sign-up | Your buyers are on LinkedIn and timing matters more than volume |
| Apollo | Contact database plus sequences | Free; Basic $49/user/mo (annual) | You need data and email sequences in one place |
| Instantly | Cold email sender, unlimited email accounts | Growth $47/mo (monthly) | Cold email is your main channel |
| Smartlead | High-volume cold email sender | Base $39/mo (monthly) | You plan to send at very high volume |
| Clay | Enrichment and list-building layer | Free; Launch $185/mo | You want to build and enrich custom lists |
Why is there no single best outbound tool?
Outbound has layers, and every tool covers a different slice of them:
- Data and prospecting: who to contact. Apollo, ZoomInfo, Sales Navigator.
- Enrichment: filling in emails, phones and firmographics. Clay.
- Sending and sequencing: getting messages out on a schedule. Instantly, Smartlead, Lemlist, Apollo.
- Deliverability infrastructure: mailboxes, domains, warm-up. See our guide to cold email deliverability in 2026.
- LinkedIn: connection requests and DMs, which have their own limits and warm-up rules.
- CRM: where deals live. HubSpot Starter and Pipedrive show up on small-team lists.
So when someone asks for the best tool, the real question is: which layer is your bottleneck right now? A founder with no list needs data. A founder with a list and bad open rates needs deliverability. A founder whose buyers ignore cold email may need LinkedIn and better timing.
Each option, one at a time
Saava
Saava watches LinkedIn for buying signals, such as who engages with posts in your space or a competitor's. It scores those people against your ICP and sends outreach from the LinkedIn account or email you connect yourself. The point is to contact fewer people at a better moment.
Good fit: founders selling to buyers who are active on LinkedIn, who have limited time and would rather send 20 well-timed messages than 2,000 cold emails.
Not a fit: if you want to send 100,000 cold emails a month, need a big contact database to export, or need a dialer. Use Smartlead, Apollo or a phone tool for that.
Apollo
Apollo is the most common recommendation for early teams. Cleverly calls it a practical all-in-one for smaller SaaS teams. Influ2 calls it the strongest starting point for earlier-stage teams, with ZoomInfo and Outreach or Salesloft replacing it at enterprise scale.
Pricing depends on billing. On Apollo's own page with annual billing: Free at $0 with 900 credits a year, Basic at $49/user/month with 30,000 credits a year, Professional at $79/user/month with 48,000 credits a year, a US dialer, 5 mailboxes and AI research. On monthly billing, Instantly's comparison lists Basic at $65/seat and Professional at $99/seat, with Organization at $149/seat and a 3-seat minimum.
One limit to know: Instantly, a competitor, says Basic allows 1 mailbox per user and 250 sends a day, with unlimited sends on Professional and above. Database size claims range from 240M+ to 275M+ depending on the source. We don't know which figure is current. We compare the two products in Saava vs Apollo.
Pick Apollo over Saava if you need a searchable database and email sequences under one login.
Instantly
Instantly is a cold email sender with unlimited email accounts on every plan. Monthly pricing on its own page in 2026: Growth $47, Hypergrowth $97, Light Speed $358. Annual: $37.60, $77.60 and $286.30 a month. An agency comparison names its strongest fit as 2 to 20 person B2B SaaS teams and founder-led outbound.
The sources conflict on data. Instantly's page lists SuperSearch with 450M+ contacts as included. Saleshandy says the database is sold separately. Check the current plan before you buy.
Pick Instantly over Saava if cold email is your main channel and you want flat pricing as you add mailboxes.
Smartlead
Smartlead is built for volume. Salesforge, a competitor, describes it as best for senders running 100K+ emails a month with unlimited mailboxes. Monthly prices: Base $39, Pro $94, Unlimited Smart $174, Unlimited Prime $379. Annual: Base $32 (6,000 sends, 2,000 contacts), Pro $78 (90,000 sends, 30,000 contacts), Unlimited Smart $144, Unlimited Prime $315 (500,000 sends). Its SmartProspect data add-on is $59/month for 300M+ contacts.
Pick Smartlead over Saava if you run high-volume cold email and have the domains and warm-up to support it.
Clay
Clay is an enrichment layer, not a sender. Listed pricing: Free, Launch $185/month, Growth $495/month. Another source estimates around $800/month base, so the sources disagree. Most founders pair it with a sender. Our Saava vs Clay post covers the signal-first versus spreadsheet-first difference.
Pick Clay over Saava if you enjoy building custom lists and want full control over every data column.
Also on the lists
- LinkedIn Sales Navigator: Freemius puts it at $99/month. We didn't verify that against LinkedIn. See Sales Navigator alternatives.
- Lemlist: $55/seat/month per Mailforge. More in Saava vs Lemlist.
- Salesforge $40/month, Saleshandy $25/month, Klenty $50/seat/month, all per Mailforge, which is Salesforge-affiliated.
- Outreach around $100 to $160/user/month on custom pricing per Influ2. Salesloft is custom. Both suit larger SDR teams, not solo founders.
- ZoomInfo Advanced: around $1,833 to $2,333/month per Mailforge. Unconfirmed.

What does a founder outbound stack actually cost?
Three stacks that come up in the sources, priced from the figures above:
| Stack | Parts | Monthly cost (2026) |
|---|---|---|
| Solo founder (Freemius) | Sales Navigator, Instantly or Salesforge, Calendly | Under $150 claimed |
| All-in-one | Apollo Basic, annual | $49 per user |
| Stacked (moderninbound) | Apollo Basic annual plus Smartlead Base annual | About $81 for one user |
The pricing model matters more as you grow. Mailforge puts it plainly: flat-rate tools keep costs predictable, and per-seat tools scale linearly with headcount. Three people on Apollo Professional at annual rates is $237 a month. Instantly Hypergrowth stays at $97 whether one or three people log in.
Tool cost is rarely the expensive part, though. Your time is. If you have half an hour a day, read outbound for founders with 30 minutes a day before buying anything.
How to pick in 15 minutes
- Where do your buyers answer? If email, start with Apollo or Instantly. If LinkedIn, start with Saava or Sales Navigator.
- Do you have a list? No list: Apollo. A list but no enrichment: Clay. Neither, but buyers who post and engage on LinkedIn: Saava.
- How much volume? Under a few thousand emails a month, any sender works. At 100K+, look at Smartlead.
- How many people will use it? More than two? Favour flat pricing.
What we couldn't verify
Our research did not cover Lemlist, HeyReach, Outreach and Salesloft pricing, or phone tools in depth. We could not confirm Apollo's current database size, Sales Navigator's price, or which Clay price is right. If a number matters to your decision, check the vendor's page that day.
Where Saava fits
Saava covers the targeting and timing part of outbound: finding people on LinkedIn who show buying signals, scoring them against your ICP, and messaging them from the LinkedIn account or email you connect. It is not a contact database, a high-volume cold email platform or a dialer. Many founders will still want Apollo or Instantly alongside it, or instead of it if their buyers live in email.
FAQ
Is Apollo enough on its own for an early-stage founder?
Often, yes. It bundles data and sequences, and the Free plan includes 900 credits a year. The limits show up in sending: Basic is reported at 1 mailbox and 250 sends a day per user.
Should a founder use Instantly or Smartlead?
Both are flat-rate cold email senders. Instantly is the more common founder recommendation for small teams. Smartlead is pitched at very high volume, up to 500,000 sends on Unlimited Prime.
Do I need Clay as a founder?
Usually not at the start. Clay is useful when you need custom enrichment, but at $185/month for Launch it costs more than most senders. Add it when list quality is your bottleneck.
Does Saava send from its own accounts?
No. Saava sends from the LinkedIn account or email you connect yourself, so messages come from you.
