Cold email reaches the inbox in 2026 when three things are true: the sending domain is authenticated with SPF, DKIM and DMARC, the complaint and bounce rates stay low, and the volume grows gradually from a domain that isn't your main one. The big mailbox providers now enforce these rules for high-volume senders, and spam filters reward the same habits at any volume. Most deliverability problems come from skipping one of them.
Here is what each provider requires, how to set it up, and the habits that keep you out of spam.
What are the Gmail and Yahoo sender requirements?
Since February 2024, Gmail and Yahoo enforce rules for bulk senders, meaning anyone sending 5,000 or more messages a day to personal Gmail addresses. Those senders must:
- Authenticate with both SPF and DKIM.
- Publish a DMARC record, at least p=none, aligned with the domain in the From address.
- Offer one-click unsubscribe on marketing messages.
- Keep the spam complaint rate below 0.3%. Google recommends staying under 0.1%.
Every sender, whatever the volume, needs at least SPF or DKIM and valid forward and reverse DNS for the sending servers.
What does Microsoft Outlook require?
Since May 5, 2025, Microsoft has applied similar rules to senders of more than 5,000 messages a day to Outlook.com, Hotmail.com and Live.com addresses. Those senders must pass SPF, DKIM and DMARC, with DMARC at least p=none and aligned. Mail that fails goes to Junk first, and Microsoft has said it will later reject it outright.

Most cold email programs never reach 5,000 a day to one provider. The rules still matter, because the same checks feed the filters that decide whether smaller senders land in the inbox.
How do you set up SPF, DKIM and DMARC?
All three are DNS records on your sending domain.
- SPF lists the servers allowed to send mail for your domain. You publish it as a TXT record that includes your email provider.
- DKIM adds a cryptographic signature to each message. Your email provider gives you a key to publish in DNS.
- DMARC tells receiving servers what to do when SPF or DKIM fails, and where to send reports. Start with p=none so you can read the reports without blocking your own mail, then tighten the policy once everything passes.
Your email provider's documentation will give you the exact records. After publishing them, send a test message to a Gmail account and check the message headers: SPF, DKIM and DMARC should all show as passed.
Should you use a separate domain for cold email?
Yes. Your main domain carries your company's email for customers, invoices and hiring. If cold outreach damages its reputation, that mail suffers too.
Most teams register a close variant of their main domain for outreach, point its website at the main one, and authenticate it fully. If something goes wrong with the outreach domain, the main domain is untouched.
How do you warm up a new mailbox?
New domains and mailboxes have no reputation, and a sudden burst of mail from one looks like spam. Warming up means starting small and increasing volume gradually over several weeks.
Keep the early messages to people likely to engage, avoid sending everything at the same time of day, and watch bounce and complaint rates as you grow. If they climb, slow down. There is no magic schedule, but patience here is cheaper than rebuilding a burned domain.
Why do bounces and list quality matter so much?
Bounces are one of the fastest ways to damage a sender's reputation, because sending to addresses that don't exist is exactly what spammers do. A list scraped months ago can be full of people who have changed jobs.
Verify addresses before they go into a sequence, remove hard bounces immediately, and prefer contacts that come with a verified work email over guessed patterns. What content habits help deliverability?
Filters look at content too, and cold email does best when it looks like normal email between people:
- Plain text, few links. One link, or none, in a first message.
- No images or tracking-heavy templates in cold outreach.
- Short messages that read like one person writing to another.
